WiFi is one of those things nobody notices until it goes wrong – and then everyone notices at once. If your team spends part of every day fighting the connection, it's costing you more than you think. Here are five signs your office WiFi needs attention, and what a proper fix looks like.

1. There are rooms where it just doesn't work

The meeting room at the back, the upstairs office, the far end of the warehouse. Thick walls, old stone buildings, metal and long corridors all block signal, and a single router in the corner was never going to reach everywhere. If people move desks to get a connection, your WiFi isn't covering your building.

2. It slows to a crawl when everyone's in

Fine first thing, painful by 10am? Every laptop, phone, printer and smart device shares the same airtime. A consumer-grade router simply can't juggle that many connections, so performance collapses at exactly the times you need it most.

3. Video calls keep freezing or dropping

Teams and Zoom calls are unforgiving. Even short drops in signal, or a device "sticking" to a far-away access point instead of switching to a nearer one, cause frozen video and robotic audio. That looks unprofessional in front of clients.

4. Staff are using their phones as hotspots

If people have given up on the office WiFi and tether to their own mobiles, that's a clear sign – and a security problem too, because their work is now going over a connection you can't see or protect.

5. Guests and staff share the same network

If visitors get the same WiFi password as your team, they're on the same network as your computers, printers and files. And if that password hasn't changed in years, half the town may know it. Guests should be on a separate network that can only reach the internet.

What a proper fix looks like

Business WiFi isn't about buying a bigger router. A proper setup usually means:

  • A site survey to understand your building and where people actually work.
  • Business-grade access points, ideally ceiling-mounted and hard-wired back to the network, so each one has a fast, reliable connection rather than relaying signal wirelessly.
  • Central management, so devices move smoothly between access points and problems can be spotted remotely.
  • Separate networks for staff, guests and devices like card machines, with modern encryption.
  • A decent internet connection and firewall behind it all – great WiFi can't fix a slow broadband line.

We recently replaced the WiFi for a Harrogate business with hard-wired mesh access points: strong signal in every room, no more dead spots, and no more complaints. It's one of the most noticeable improvements a business can make for the money.
