1. Who we are
This website is run by Vipertech IT Solutions Ltd, a company registered in England & Wales (company no. 04010958). We are registered with the Information Commissioner's Office (ICO) under registration number ZC263104.
For anything to do with your personal information, you can email us or call us on 01423 206750.
This policy covers personal information collected through this website. Where we process data on our clients' systems as part of our services, that is covered by our Terms of Service and the agreements we have with those clients.
2. What we collect
When you send us a message using a form on this website, we collect:
- your name and email address;
- your phone number, if you choose to give it;
- the service you're interested in and the content of your message;
- the date and time of your message and the IP address it was sent from, which helps us to spot and block spam and abuse.
If you email or call us directly, we keep the details you give us in the same way. We don't collect any special category data through this website, and we ask that you don't include sensitive information in your message.
3. How we use it
- To reply to your enquiry and provide the information, quote or support you've asked for.
- To keep a record of our conversations so we can follow up and help you properly.
- To protect this website from spam, misuse and attacks.
We won't add you to a mailing list or send you marketing without your agreement, and we never sell your personal information.
4. Our lawful basis
We handle enquiries on the basis of our legitimate interests in responding to people who contact us, and, where you're asking about our services, to take steps at your request before entering into a contract. Security measures such as spam protection are also based on our legitimate interests in keeping this website safe.
5. Who we share it with
We only share your information with trusted providers who help us run our business, such as our website hosting and email providers. They act on our instructions and must keep your information secure. We'll also disclose information if the law requires us to.
Our website is hosted in the UK. Where any provider processes data outside the UK, we make sure appropriate safeguards are in place.
6. How long we keep it
We keep enquiries for as long as we need them to deal with your request and any follow-up, and for up to 12 months afterwards in case you get back in touch. If you become a client, we keep your information for as long as we work together and as the law requires, for example for financial records.
7. Cookies and analytics
This website uses one strictly necessary cookie. It's a session cookie that protects our contact forms from misuse, and it's deleted when you close your browser. Because it's essential for the website to work securely, we don't need to ask for your consent to use it.
We use Matomo to understand how many people visit our website and which pages are useful. It is hosted on our own server in the UK, so your visit data is never shared with Google or any other analytics company. It runs without cookies, shortens your IP address before anything is stored, and is used only to produce anonymous, aggregated statistics that help us improve the website.
If your browser sends a “Do Not Track” or “Global Privacy Control” signal, we don't count your visit at all. You can also opt out on this device at any time:
We don't use advertising or social media tracking cookies.
8. Third-party services
Our Support hub includes download buttons provided by our remote support software provider, Splashtop. When you load or use those buttons, Splashtop may collect technical information in line with its own privacy policy. Links on our website to other websites are provided for convenience, and we're not responsible for their privacy practices.
9. Security
We take the security of your information seriously. This website uses encrypted (HTTPS) connections, our systems are kept up to date and protected, and access to enquiries is limited to people who need it.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong or incomplete;
- ask us to delete your information, where the law allows;
- object to or ask us to restrict how we use your information.
To make a request, email us. We may need to confirm your identity, and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk – but we'd appreciate the chance to put things right first.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
